Office & Operation Manager - Mandarin Speaker
Experienced Office & Operations Manager (Mandarin speaker) to align China HQ with the Philippines team — lead admin, HR, and ops, boost efficiency, and foster collaboration.
Position Overview
We are seeking an experienced Office Manager to oversee the day-to-day operations of our Philippines office. This role serves as the primary liaison between the China headquarters and the local Philippine team, ensuring seamless communication, operational efficiency, and compliance with company policies.
The successful candidate will oversee office administration, human resources, finance coordination, and customer service operations while driving process improvements, cross-functional collaboration, and a positive workplace culture.
Key Responsibilities
Office Operations
Manage the overall daily operations of the Philippines office.
Oversee office facilities, equipment, supplies, and administrative services.
Develop, implement, and continuously improve office policies, procedures, and workflows.
Ensure workplace safety and security by maintaining office protocols and emergency procedures.
Manage the administrative budget and monitor office-related expenditures.
Team Leadership & Cross-Functional Coordination
Supervise and coordinate the activities of the HR, Finance, IT, Administration, and Customer Service teams.
Promote effective collaboration across departments to achieve business objectives.
Monitor team performance and ensure timely completion of operational priorities.
Partner with Customer Service leadership on workforce planning, recruitment, and daily operations.
Organize employee engagement initiatives, team-building activities, and company events.
Human Resources & Administration
Oversee end-to-end HR processes, including recruitment, onboarding, employee engagement, performance management, training, and employee relations.
Ensure compliance with Philippine labor laws and company policies.
Manage administrative documentation, internal reports, meeting coordination, and other office administrative functions.
Stakeholder Management & Communication
Serve as the primary point of contact between the China headquarters and the Philippines office.
Facilitate clear and timely communication between local and global teams.
Provide guidance to headquarters on Philippine business practices, local culture, and operational requirements.
Support cross-cultural collaboration and alignment of management practices across regional teams.
Reporting & Continuous Improvement
Prepare operational reports, business updates, and data analysis for senior management.
Identify opportunities to improve operational efficiency and business processes.
Perform additional duties as assigned by management.
Qualifications
Bachelor's degree in Business Administration, Human Resources, Management, or a related field.
Proven experience in Office Management, Operations Management, Administration, or a similar leadership role.
Strong understanding of office operations, administration, and HR practices within the Philippines.
Experience managing cross-functional teams and multiple operational functions.
Excellent leadership, organizational, and stakeholder management skills.
Strong verbal and written communication skills in both Mandarin Chinese and English.
Ability to work effectively in a multicultural and cross-functional environment.
Highly organized, detail-oriented, proactive, and capable of managing multiple priorities.
Preferred Qualifications
Native or fluent Mandarin Chinese speaker.
Has lived and worked in the Philippines with a strong understanding of the local business environment and culture.
Proficiency in Tagalog is an advantage.
Experience working with multinational organizations or regional headquarters is preferred.
